AI Literacy: Why Evidence Matters
Rolling out AI in your organization is an important step forward, but training your staff is not enough on its own. Since Article 4 of the EU AI Act took effect in February 2025, companies must also be able to show that their employees are AI-literate when an inspection takes place. Enforcement of this rule started on 2 August 2026, so your records need to be in order already.
What Evidence Is Required?
Three key documents are accepted as evidence of AI literacy. It's crucial for small and medium-sized businesses to keep these documents accurate and up to date:
- An AI register: Keep a detailed overview of every AI application used within your organization. Describe how each application supports your business goals and how it is managed.
- A per-employee training log: Document the AI training employees complete, including dates, content and results achieved. This shows your employees are continuously developing their skills.
- An established AI policy: This should set out clear guidelines and expectations for AI use within your organization. Updating this policy regularly is essential to stay aligned with the latest regulation.
Why This Matters for Dutch SMEs
For Dutch SMEs, meeting these legal requirements can be a challenge given limited resources and knowledge. Keeping these documents in order, however, does more than avoid legal trouble — it builds trust with customers and partners. That matters for your competitive position in an increasingly digital market.
Practical Steps to Get Started
Here are a few steps your organization can take to be ready for an AI inspection:
- Keep your AI register updated regularly.
- Build a central database for training logs so all documentation is easy to access.
- Update your AI policy at least once a year to reflect new regulation.
