n8n, Make and Zapier all look like they do the same thing: automate workflows by connecting apps together. But for an SME, the choice makes a real difference in cost, learning curve and what you can eventually build. Here's the honest breakdown — based on what we see working in 2026 projects.
The short version
- Zapier — fastest to start, most expensive at scale, limited for complex logic
- Make — visually strong, better price-performance than Zapier, reasonably powerful
- n8n — most powerful and flexible, self-hosted option, steeper learning curve
Zapier: the entry point
Zapier is the oldest and best-known. Strengths: a huge library of app integrations (7,000+), simple trigger-to-action flows, good documentation. Works out of the box for "when X happens in app A, do Y in app B".
Weaknesses: pricing scales hard with volume. An SME running 100k tasks/month is quickly looking at €500-€1,500. Limited for multi-step logic with conditions, loops or error handling. AI functionality was added recently but is less mature than in Make and n8n.
Choose Zapier if: you want 1-2 simple workflows, have limited technical capacity, and need to start fast.
Make (formerly Integromat): the pragmatist
Make's visual builder is excellent — you see your workflow as a diagram of nodes and connections, which makes complex logic intuitive. Strong for scenarios with multiple paths, iterations and data transformations.
Pricing is a big advantage over Zapier: for the same volume you often pay 30-50% less. AI integrations (OpenAI, Claude, etc.) are cleanly built in.
Weaknesses: fewer integrations than Zapier (though this is growing fast). For very complex or high-volume scenarios you'll hit platform limits.
Choose Make if: you need workflows with multiple steps, conditions or data manipulation, and cost matters.
n8n: the powerhouse
n8n is open source and can run self-hosted. That gives three advantages: cost (no per-task pricing if you host it yourself), data sovereignty (everything stays in your own infrastructure — important for EU AI Act and GDPR) and flexibility (you can run your own code).
For AI workflows, n8n is our favourite in 2026 for implementations heading toward AI agents. You can freely combine LLM calls, embeddings, vector databases, custom logic and APIs — something Zapier and Make can only do partially.
Weaknesses: you need technical capacity to run it well. Hosting takes time and knowledge (though n8n Cloud makes this easier). No 7,000 integrations — but 400+, and you can call any REST API.
Choose n8n if: you're serious about workflow automation or AI agents, cost control matters, or data sovereignty is a requirement.
Cost comparison for a typical SME scenario
Say: 100,000 tasks per month (2-3 step workflows with an AI call in them).
- Zapier: €600 – €1,200 per month
- Make: €200 – €500 per month
- n8n Cloud: €50 – €150 per month
- n8n self-hosted: €30 – €80 per month hosting + your own maintenance
Plus LLM API costs if you use AI — those are the same across all three platforms.
Our pragmatic choice in projects
In 80% of our SME implementations: n8n. Reason: better total cost of ownership over 12-24 months, more powerful for AI workflows, no vendor lock-in.
In 15%: Make. Reason: faster time-to-value when the client wants to maintain it themselves without technical resources.
In 5%: Zapier. Reason: extending an existing Zapier setup, or very specific integrations that only exist there.
